Upload Repair Order
CSV columns (header row required): ro_number, service_advisor_name, date_opened, date_closed,
odometer_in, odometer_out, customer_signature_present, customer_approval_timestamp, mpi_completed,
job_code, technician_name, description, clock_in_time, clock_out_time, labor_rate_charged,
labor_rate_standard, parts_cost_charged, parts_cost_list.
One row per job line — repeat the RO-level columns on every row that shares the same ro_number.
Advisor/technician names must match an existing user in this dealership exactly.
Upload a photo/scan of a paper repair order, or a digital PDF. Fields (RO number, advisor,
odometer, job lines, etc.) are read automatically via OCR — nothing is typed by hand.
This is a best-effort reading, not a guaranteed-accurate one: check extraction.warnings
in the result below for anything that couldn't be confidently read. The RO is created and analyzed
immediately either way — there's no review step before it's submitted.
Multi-page RO? Select or add up to 8 photos/files at once — pages are matched
into one repair order by the RO number printed on each page, so it's fine to select several
different ROs' pages together too; they'll be split back out automatically.

Recalls
Record open recalls for a repair order
Until Toyota's API is connected, ROview only knows a vehicle had an open recall if somebody records it. Look the vehicle up in Toyota Dealer Daily, then enter what it showed. Leave the remedy date blank if the remedy isn't out yet — a recall awaiting its remedy owes nothing, and dating it wrongly would flag repairs done before the fix existed. If the campaign is already in your requirements list, its remedy date fills in automatically.

Dashboard Metrics
Choose which panels appear on your dashboard. Turning one off hides it from your view only — it doesn't stop that data being collected, and it doesn't affect anyone else's dashboard. Rearrange the panels you keep by dragging them on the dashboard.
Labor Types & Rates
Define your dealership's own labor types and standard hourly rates — used to catch overcharges, since repair orders never print a standard rate to compare against. Saving replaces the full list (service_manager/gm roles only).
Advisor Schedules
Set each advisor's on-shift days a full week at a time. Advisor outreach uses this so an acknowledgment deadline only runs on days an advisor actually works — a day off pauses it. Toggles save as you tick them; use the arrows to move between weeks.
MPI Inspection Thresholds
How the MPI reader turns brake/tire measurements into green / yellow / red — it reads the number, not the color bar. A value at or below the red limit is red; at or below the yellow limit is yellow; above is green. Edit these to match your store's standards.
Repeat Visits
How many visits for the same concern on the same vehicle before ROview flags it on the Repeat Visits tile. At 2 — the default — the second visit for a complaint is flagged and every visit after that escalates. If you raise it, ROview also warns you on the visit just below your number so you still see it coming. The count that matters varies by state and by whether the defect is safety-related — set it to match the guidance your dealership operates under.
Win-back Offers
Default discount for texts to customers who declined recommended work (the Declined Services tile's "Draft text" flow). You can override the percentage on each individual message.
Declined-Service Codes
ROview treats an op code starting with DEC as a customer who declined recommended work — that drives the Declined Services tile, the win-back drafts, and the declined-work line in the daily email. If your catalog has codes that start with DEC but mean something else, list them here so they are left out. Comma-separated;
Discount Op Codes
ROview reads discounts from op codes shaped as a prefix plus a percent — PL15 means 15% off parts & labor. That drives the Discount Tracker tile on the Opportunities page. If your catalog uses other discount prefixes, list them here. Comma-separated, letters only (the digits are the percent);
Maintenance Op Codes
The op codes that mean routine maintenance at your store — oil changes, rotations, filters. The CP Labor Rate tool (Warranty page) excludes these lines from your manufacturer rate-application math: maintenance is customer-pay, but it is not repair-rate evidence. Exact codes, comma-separated.
Recall Certification Requirements
Which technician certifications Toyota requires for each recall campaign. Until this is recorded, the Tech Certification section can only report “needs verification” — it has no standard to check the technician against. Enter the certification codes exactly as they appear on your Service Lane certification sheet; the box suggests the codes read off your latest upload. A recall that needs no special certification is a real answer — save it with the certifications box empty and ROview will stop asking. Leave the remedy date blank while a campaign is still awaiting its fix — a recall with no remedy owes nothing, and ROview compares that date against each repair's own date, so a remedy released in June never condemns a repair done in March.
Have a file instead? If Toyota gives you a spreadsheet of campaigns and the certifications each one needs, upload it here and ROview will read the whole catalog at once. Save it as CSV — comma, tab, semicolon or pipe separated. It needs a header row naming a recall column and a certification column (any reasonable wording works, e.g. “Recall Code” and “Required Certifications”). One row per recall, or a separate row per certification — both read correctly. Nothing is saved until you review what it found.
Change Password
Updates the password you use on the sign-in screen. If your account has never had a password (API-key sign-in), leave the current-password field blank.
Two-Factor Authentication
Adds a 6-digit code from your phone's authenticator app every time you sign in — even a stolen password can't get in without your phone. (Text-message codes are planned once the dealership's SMS account is approved.)
Scan with your phone camera or authenticator app — or enter this key manually:
Team — Accounts & Digest Emails
Digest email is where each person's daily summary is sent — leave it blank for no emails, or untick Daily to pause sends while keeping the address. For teammates who are locked out: Reset password gives them a temporary password (shown to you once — pass it on securely) and forces them to choose their own at next sign-in; Reset 2FA clears a lost phone's authenticator so they re-enroll. Both sign the person out everywhere.
Daily Email Digest
Every morning, managers and the GM get an email with dealership-wide key metrics, and each service advisor gets one with only their own numbers. Tick the metrics you want in each email — the choices apply dealership-wide. Recipients and addresses are managed in the Team card above.
